Managed Uniform & PPE Programs
TMH Safety is a business-to-business uniform, workwear and PPE supplier providing end-to-end solutions directly to organisations and their employees.
Our managed programs combine dedicated account management, fit-for-purpose product selection, garment branding, staff fittings, online ordering, purchasing controls, reporting and ongoing supply support.
The result is a uniform and PPE program built around the way your organisation actually operates.
Direct Account Management
Your TMH Safety account manager works directly with your organisation to understand:
- Your workforce and job roles
- Workplace conditions
- Uniform and PPE requirements
- Existing supply problems
- Branding requirements
- Locations and delivery needs
- Purchasing authorities
- Employee allocations
- Reporting requirements
- Ongoing and replacement needs
Rather than leaving your employees to search through thousands of products, we help narrow down the options and develop an approved range suitable for your organisation.
Fit-for-Purpose Product Selection
We help guide customers towards products that provide the best practical fit for their people, working environment and budget.
This may include:
- Corporate uniforms
- Workwear and hi-vis garments
- Safety footwear
- General and specialist PPE
- Healthcare and hospitality uniforms
- Headwear
- Bespoke and made-to-order garments
- In-house embroidery and DTF printing
Different products can be approved for specific roles, departments, locations or working conditions.
Where appropriate, we can also recommend alternative products to reduce dependence on a single garment, brand or supply channel.
Uniform and PPE Program Setup
Once the approved products have been selected, TMH Safety can help establish the operating structure of the program.
This may include:
- Approved product ranges
- Agreed customer pricing
- Branding specifications
- Employee entitlement or allocation rules
- Department and team structures
- Purchasing and approval authorities
- Purchase-order requirements
- Delivery locations
- Special delivery instructions
- Reporting requirements
- New-starter and replacement processes
The program can be adjusted as your workforce, roles or product requirements change.
Staff Sizing and Fittings
Getting employee sizing right is an important part of any uniform rollout.
TMH Safety can assist through:
- Onsite fitting sessions
- Size sets where appropriate
- Individual fittings at our Klemzig showroom
- Supplier sizing information
- Online sizing guides available in multiple languages
- Support for employees requiring non-standard sizes
- A combination of fitting methods for different teams, shifts and locations
Our team can help identify sizing issues before the full order is produced.
Invite-Only Online Ordering Portal
Approved customers can access a secure, invite-only ordering portal tailored specifically to their organisation.
The portal displays only the products approved for that customer. Employees and authorised purchasers do not need to search through an unrestricted public catalogue.
The portal can be structured by:
- Individual employee
- Team
- Department
- Job role
- Worksite
- Delivery location
- Product category
- Purchasing authority
Each group can be given access to a different range of approved products where required.
Employee Allocations and Spending Control
Individual employees can be assigned a uniform or PPE allocation through the portal.
Depending on the agreed program, the system can:
- Display the employee’s approved products
- Apply an individual spending allocation
- Restrict access to particular garments or PPE
- Manage ordering permissions
- Require manager approval
- Apply purchase-order requirements
- Help prevent unauthorised purchasing
- Record order history against the employee
Where enabled by the customer, an employee can use a personal credit card to purchase additional approved items above their allocated entitlement.
This allows the organisation to control its contribution while giving the employee the option to purchase extra items.
Approvals and Purchase Controls
Orders can be directed through an agreed approval process before they are released.
Controls can include:
- Manager approval
- Department approval
- Purchase-order requirements
- Spending limits
- Employee allocations
- Approved product restrictions
- Authorised delivery locations
- Customer-specific ordering instructions
These controls help reduce incorrect, inconsistent or unauthorised purchases.
Delivery and Freight Tracking
The portal can record delivery information and special instructions at the time of ordering.
Orders can be delivered to:
- A central workplace
- Individual departments
- Approved worksites
- Multiple business locations
- Other authorised delivery addresses
Available delivery timeframes, services and freight tracking depend on the freight option selected for the order and the destination.
Where the selected freight service includes tracking, shipment details can be provided so the customer can follow the dispatched order.
For larger rollouts, delivery can be staged by team, department, location or priority.
Individually Packed Employee Orders
Where required, TMH Safety can individually pack garments for each employee.
Employee packs can be identified by name, department, location or another agreed reference. This reduces the time the customer needs to spend sorting and distributing a large uniform delivery.
Individual packing can be particularly valuable during:
- Initial uniform rollouts
- Seasonal issues
- Department changes
- New-site openings
- Large staff inductions
- Organisation-wide brand changes
Reporting
The online portal provides reporting functions that help customers understand ordering activity and program usage.
Depending on the program setup, reports can assist with reviewing:
- Orders by employee
- Orders by team or department
- Orders by worksite
- Product usage
- Allocation usage
- Purchasing history
- Delivery activity
- Overall program spending
Reporting can help identify unusual purchasing patterns, recurring requirements and opportunities to improve the approved product range.
New Starters, Replacements and Ongoing Orders
A managed program must continue working after the initial rollout.
TMH Safety can help manage:
- New-employee uniform orders
- Replacement garments and PPE
- Staff role or department changes
- Additional branding or employee names
- Small repeat orders
- Product updates
- Discontinued products
- Alternative product selection
- Ongoing delivery requirements
Approved products, logos and branding positions can be retained to help keep future orders consistent.
Returns and Product Issues
TMH Safety can provide an agreed process for managing approved returns, incorrect items and defective products.
Where required, we can:
- Review the issue
- Issue return authorisation
- Coordinate the approved return
- Manage eligible supplier warranty claims
- Arrange replacements where applicable
- Record changes needed for future orders
Return eligibility depends on the product condition, branding, personalisation, supplier requirements and the agreed customer program.
Stock and Supply Planning
TMH Safety works closely with our suppliers and customers to plan ongoing requirements and manage potential product shortfalls.
This can include:
- Reviewing expected product usage
- Forecasting repeat requirements
- Identifying business-critical products
- Discussing stockholding arrangements
- Monitoring supplier availability
- Planning for seasonal requirements
- Managing backorders
- Identifying suitable alternative products
- Managing discontinued product transitions
- Planning made-to-order replenishment
If a product shortage or discontinuation occurs, we work with the supplier and customer to understand the expected impact and identify the most practical available solution.
The appropriate approach depends on product volumes, supplier arrangements, available alternatives and the customer’s operational needs.
Ongoing Program Review
Uniform and PPE requirements change as organisations grow, introduce new roles or update their branding and safety requirements.
Your account manager can review the program with you and help adjust:
- Approved products
- Employee allocations
- Department access
- Branding requirements
- Delivery arrangements
- Approval processes
- Reporting requirements
- Alternative products
- Future supply planning
